Job Title: Third Party IVF Clinical Coordinator

Salary Range: $30 – $33 Per Hour

Successful fertility treatment requires a cohesive team of physicians, nurses, embryologists, scientists and staff all working toward a common goal. Reproductive Partners San Diego has six physicians specialized in reproductive medicine who help each other effectively diagnose and treat patients. Many of our physicians and staff members have been together for over twenty years. This legacy of cooperation has produced techniques for developing individual treatment plans which result in a high level of success in even the most difficult cases. Position Summary: As a Third Party IVF Clinical Coordinator, you will play a crucial role in assisting intended parents, oocyte donors, and gestational carriers throughout the third-party reproduction process. You will work closely with patients, physicians, and other healthcare professionals to ensure a seamless and compassionate experience for our patients.

Essential Duties and Responsibilities include the following. Other duties may be assigned based on operational needs.

Daily Responsibilities

  • Initial visit, counseling, and IVF procedure teaching and scheduling of treatment.
  • Create patient treatment plan and calendar under the direction of the patient’s primary physician.
  • Participate in medication administration.
  • Participate in ultrasound follicle assessment and office exams.
  • Participate in obtaining blood, urine and tissue specimens.
  • Cycling visits include medication instruction (schedule, dosage and administration), anticipatory guidance, clarification of physician instructions.
  • Accept/make phone calls or emails regarding medications, laboratory values and semen analysis results with appropriate explanation and interpretation given.
  • Document patient care services by charting in patient electronic medical record including nAble IVF.
  • Schedule patient procedures.
  • Educate and directs patients in diagnostic testing, procedures and surgeries.
  • Provide support to the male reproductive patients through patient education, assisting with TESA and TESE cases and coordinating with male reproductive urologist.
  • Schedule patient services using nAble IVF.
  • Comfort patients by anticipating patients’ anxieties; answering patients’ questions as permitted.
  • Maintain safe and clean working environment by complying with procedures, rules, and regulations, and calling for assistance from other health care support personnel when appropriate.
  • Ensure compliance with all relevant regulations and protocols.
  • Initiate the emergency measures as needed when a patient emergency arises.
  • Communicate with third party agencies to provide accurate updates regarding oocyte donors and gestational carriers.
  • Offer emotional support to intended parents, donors, and gestational carriers throughout the process.
  • Provide Intended Parents and Recipients with updates regarding their oocyte donors and gestational carriers.
  • Scheduling of initial consults for oocyte donors and gestational carriers.
  • Ensure that all required testing for oocyte donors, intended parents are complete within the required timeframe per FDA regulations.
  • Ensure all FDA requirements are completed and organized in the appropriate timeframe using the red chart system.
  • Assign anonymous oocyte donor numbers within the nAble IVF EMR.
  • Accurately matching oocyte donors to recipients and gestational carriers to intended parents within the nAble IVF EMR.
  • Working with frozen donor oocyte banks and the coordination of receiving frozen donor oocytes for patients utilizing them.

Team Communication

Nursing Communication:

· Maintain patient charting and patient medical records.

· Accept daily assignments; assists all staff with information of area assigned.

· Cover weekends and holidays per rotating schedule.

· Attend and actively participate in staff and in-service meetings; communicates issues where appropriate.

Practice Communication:

· Make referrals to other team members.

· Attend and actively participate in practice meetings; communicates issues where appropriate.

· Cooperate, interface and work independently to assure the practice goals are achieved.

· Establish and maintain positive communications with co-workers, supervisor, physicians, and patients to promote a spirit of teamwork and cooperation in providing quality healthcare and to ensure achievement of the practice’s goals.

· Communicate unusual or unexpected results or problems to the clinical supervisor.

Confidential and Sensitive Information: Ensure the confidentiality of all patient records and care per confidentiality policy and HIPPA regulations.

Attendance/ Punctuality/ Reliability is an essential function of this position to report to work on time for your scheduled hours dependent on operational needs, ready for work; ensure work responsibilities are covered when absent; arrive at meetings and appointments on time.
